Impartial Privacy Policy

Effective date: Oct 6, 2026

Who we are and what this covers

Impartial is a North Carolina nonprofit working to bring humanity to the criminal justice system. This policy explains what personal information we collect, why, how we use and protect it, and the choices you have.

It applies to everyone who interacts with Impartial, including:

  • Visitors to impartial.one
  • People who subscribe to our newsletter, donate, or contact us
  • Buyers of artwork and the artists whose work we sell on consignment
  • Players, testers, and partners of our justice video games
  • Participants in our online community programs
Some programs have their own rules that add protections for participants. Where a program’s rules are more protective than this policy, the program’s rules apply. This policy works alongside our Terms & Conditions and our AI Policy.
Our approach is simple: we collect information for a clear purpose, ask for no more than we need, and respect your choices about what you share.

Information we collect

Information you give us. This depends on how you interact with us:

  • Contact and newsletter: name, email address, and anything you include in a message.
  • Donations and artwork purchases: name, contact details, billing and shipping information, and purchase or donation history. Payment card details are handled by a third-party payment processor. We do not store full card numbers.
  • Artists: contact details, information about your artwork, whether it is consigned or purchased directly by Impartial, and how you would like payments handled, including payment to family members at your request. We document payment arrangements in writing before disbursing any funds and keep that documentation with our financial records.
  • Community participants: the information required to create your membership, plus anything you choose to add to your profile or share in community activities.
  • Games and partnerships: contact details and feedback from testers, schools, and partners.

Information collected automatically. When you visit our website, we and our service providers may collect basic technical information such as browser type, device, pages viewed, and general location based on IP address. See Cookies and analytics below.

Information you choose to share. Sharing personal experiences, including any connection to the criminal justice system, is always optional. We never require you to disclose your own or a family member’s history to participate.

How we use information

We use personal information to:
  • Run our programs, including our online community, artwork sales, and the justice video games
  • Process donations, purchases, and payments to artists
  • Send newsletters, updates, and event information you have signed up for
  • Respond to questions and requests
  • Understand what participants need and improve our programs
  • Prepare reports on our activities and impact for donors, sponsors, and grantmakers
  • Keep our community and systems safe, and comply with the law
We use information in ways consistent with why it was collected and what you would reasonably expect. We do not sell personal information. You can unsubscribe from our emails at any time using the link in each message.

Community programs

Our online community programs bring people together to share experiences and build connections around the criminal justice system. When you take part:

  • Posts: what you post in community spaces, such as a discussion board, can be seen by other participants. Think about what you are comfortable sharing before you post.
  • Stories: a story you choose to share is shown only where you agreed, after you give permission and choose how you are identified. We will not share it outside that setting without your separate permission.
  • Live sessions: some sessions are held by video conference and recorded, including surveys connected to them. We use recordings and responses to run and improve our programs, and we tell you when a session is being recorded.
  • Surveys: we tell you whether a survey is anonymous or linked to your name before you respond.
  • Not confidential: posts, stories, and sessions are not confidential or legally privileged. Please do not share details of pending cases or anything that could affect a legal matter.
Each program’s rules explain participation, moderation, and story guidelines in more detail.

How we share information

We do not sell, rent, or trade personal information.

Service providers. We use outside services to operate, and they may handle personal information on our behalf. These include our customer relationship management system, our community platform, video conferencing, workflow automation tools, email services, payment processors, and AI tools. They receive only what they need for their task. A current list of the main providers is available on request.

Donors, sponsors, and grantmakers. We share summarized or aggregate information, such as participation numbers, common themes, and program outcomes. We do not report small-group results in a way that could identify someone. We share an individual’s story or identifying information only with that person’s permission for that specific use.

Artwork. When we sell artwork, we may share the artist’s name and information about the work with buyers and exhibition partners, consistent with our agreement with the artist.

Legal and safety reasons. We may disclose information when required by law, such as in response to a subpoena or court order, or when needed to protect someone’s safety or our legal rights.

Cookies and analytics

Our website uses cookies, small files stored by your browser, to make the site work, remember your preferences, and understand how visitors use the site. We may use analytics services that collect this information on our behalf in aggregate form.
You can set your browser to warn you about cookies or block them. Some parts of the site may not work properly without them.

Do Not Track. Some browsers send a “Do Not Track” signal. Because there is no common standard for responding to these signals, our website does not currently respond to them.

Other websites. Our site may link to other websites, such as partner organizations or resources. Their privacy practices are their own, so please review their policies.

How we use AI

We use AI tools to help with administrative work, organize information, and summarize feedback. People remain responsible for decisions about individuals. Our AI Policy explains how and why we use AI, and the choices available to you.

Protecting your information

We limit access to personal information to team members who need it. We use password management and two-factor authentication on our key systems, and we consider privacy and security when choosing tools. No online system is completely secure, so we cannot guarantee absolute security.
If a data breach affects your personal information, we will notify you without unreasonable delay and as required by law.

How long we keep information

We keep personal information only as long as we need it for the purpose it was collected, for legitimate organizational needs, or to meet legal and financial recordkeeping requirements. When it is no longer needed, we delete it or make it anonymous.

Your choices and rights

You may:
  • Ask what personal information we hold about you
  • Ask us to correct it
  • Ask us to delete it, subject to legal or recordkeeping requirements
  • Withdraw permission you have given, such as for a story to be shown
  • Unsubscribe from our emails at any time
To make a request, email us at contactus@impartial.one. We may need to confirm your identity first. We will respond within a reasonable time.

Children

Our website and programs are not directed to children under 13, and we do not knowingly collect their personal information. Programs that require an account are for people 18 and older. If you believe a child has given us information, contact us and we will delete it.

Changes to this policy

We may update this policy as our programs change. We will post the updated version on this page with a new effective date, and we will notify participants directly of significant changes.
