Impartial AI Policy
Effective date: Oct 6, 2026
Why we have this policy
Impartial uses AI to save time on administrative work so our small team can spend more time with people. Our mission is to bring humanity to the criminal justice system, so we hold ourselves to a clear standard: AI supports human work and never replaces human judgment about people.
This policy explains where we use AI, where we don’t, and the choices you have. It applies across Impartial’s website and programs and works alongside our Privacy Policy and Terms & Conditions.
Our guiding principles
- People decide. A person reviews AI output and makes every decision that affects an individual.
- Purpose first. We use AI only where it serves our mission or frees time for human work.
- Transparency. We tell you where AI is used, and we label AI features you interact with directly.
- Your voice stays yours. AI never changes the meaning of someone’s story or speaks for them.
- Choice. Member-facing AI features are optional. There is always a way to take part without them.
- Care with information. We share only what a task needs with AI tools and review how providers handle data before we use them.
How we use AI
- Administrative work: drafting routine emails, organizing records, and streamlining internal processes
- Organizing information: sorting and summarizing notes, documents, and program information
- Feedback and surveys: identifying broad themes in survey responses and feedback, which people then review and interpret
- Reports: helping summarize program activity and impact for members, donors, and sponsors, reviewed by our team before sharing
- Content support: helping with first drafts of educational or program materials, which our team edits and approves
How we don't use AI
- AI does not make decisions about who can join, participate, or receive services
- AI does not judge anyone’s credibility, character, or the truth of their experience
- AI does not pose as a person or take part in community discussions as a member
- AI does not create or alter artists’ artwork
- AI does not publish anything on its own; a person approves what we share
AI in our community programs
Discussion board. AI may help our team spot posts that need a closer look. A team member reviews every flagged post and makes any moderation decision. An AI flag alone never leads to action against a participant.
Storytelling tool. We are exploring an optional AI-assisted tool to help members shape their stories. If we offer it, using it will be your choice, and you can always tell your story without it. The tool is meant to make sharing easier, not to change what you say or push you to share more. You approve your story’s final version before it is posted.
Sessions and surveys. If we use AI to summarize session recordings or survey responses, a team member reviews the results before they are used.
Protecting your information
Before adopting an AI tool, we consider what it will be used for, what information it needs, and how the provider handles and protects data. We share only the information a task requires and remove names or identifying details where we can. Our main AI tools run on accounts held by Impartial, not individual staff accounts.
Your choices
- Decline any optional AI feature, including the storytelling tool
- Ask whether AI was used in something that involves you
- Ask a person to review any concern about how AI was used
Reviewing this policy
AI tools change quickly. We will review this policy at least once a year and when we adopt a new kind of AI use, and post any updates with a new effective date.
